Getting started with LodgeCheck

LodgeCheck is a mobile-first app for documenting property condition before and after every short stay. This guide gets you up and running in under 10 minutes.

Quick start

Here's the fastest path from signup to your first inspection:

Create your account

Sign up at app.lodgecheck.app with your email. Your 7-day trial gives you full access — no credit card needed.

Add your property

Tap Properties → Add property. Enter the name and address. LodgeCheck adds default rooms (living room, kitchen, bedroom, bathroom…) automatically.

Create a stay

Tap Stays → New stay. Enter the guest name, dates and (optionally) their email and booking reference.

Run the check-in inspection

Open the stay, tap Start check-in inspection. Walk through each room and capture photos. Tap Next Room until done, then tap Complete Inspection.

Send the report to your guest

Tap Send report. The guest receives an email with a secure link to their condition report. When they open it, the time is logged automatically.

Properties

A property is the base record for each of your listings. Each property has its own set of rooms, and all stays and inspections are linked to a property.

Default rooms

When you create a property, LodgeCheck adds these rooms automatically:

  • Entrance / Hallway
  • Living Room
  • Kitchen
  • Master Bedroom
  • Bathroom
  • Outdoor / Deck

You can add, rename or remove rooms from the property settings to match your actual layout.

Cover photo

Add a cover photo to help identify the property at a glance. This appears on the property card and can appear on branded reports.

Tip: If your property has unusual spaces (e.g. a pool, cinema room, boat shed), add them as custom rooms so inspectors know to check them.

Stays

A stay represents a guest booking at a property. It links a check-in inspection and a check-out inspection, and carries a unique report link that can be shared with the guest.

Stay status

  • Upcoming — stay created, no inspection yet
  • Checked in — check-in inspection complete
  • Checked out — check-out inspection complete
  • Complete — report sent to guest

Booking reference

Optionally enter the Airbnb or platform booking reference. This appears on the guest report and is useful for cross-referencing platform claims.

Inspections

Each stay has a check-in and check-out inspection. The workflow is the same for both — you work through the property room by room.

During an inspection

  1. Tap Start inspection from the stay detail page
  2. Select the current room from the room list
  3. Take photos — the camera uses GPS and timestamps each shot automatically
  4. Flag any damage using the damage toggle
  5. Move to the next room and repeat
  6. Set the overall condition rating (Excellent / Good / Fair / Poor)
  7. Add any notes, then tap Complete inspection

Photo tips

  • Photograph every surface that could be damaged — walls, floors, furniture, fittings
  • Take wide shots first, then close-ups of anything notable
  • In good lighting — poor lighting makes photos harder to compare later
  • At check-out, photograph the same angles as check-in so comparisons are clear

GPS tip: The app captures your GPS coordinates with each photo. For this to work, allow location access when prompted. If GPS is off, photos still save — just without coordinates.

Flagging damage

During a check-out inspection, you can toggle the "New damage" flag on individual photos. These photos are highlighted in the guest report and shown first in the before/after comparison.

Reports

Every stay has a unique, shareable report link. The report shows the guest all inspection photos, condition ratings and any flagged damage.

Sending a report

Tap Send report from the stay detail page. If the guest's email was entered on the stay, it pre-fills. The guest receives a professionally formatted email with a button to view their report.

Acknowledgement tracking

The first time the guest opens the report link, LodgeCheck logs the date, time and IP address. This creates a tamper-proof record showing the guest was aware of the property's condition — critical evidence if a dispute arises later.

Before & after comparison

When both a check-in and check-out inspection are complete, the report shows a side-by-side comparison for each room. Damage-flagged photos are highlighted.

Best practice: Send the report link at check-in (showing the property condition the guest is accepting) and again at check-out. Getting two acknowledgements makes disputes much easier to resolve.

Team access

On Host Pro and Manager plans, you can add representatives — cleaners, caretakers, co-hosts — who can run inspections on your behalf.

What representatives can do

  • Log in and see properties and stays assigned to your account
  • Run check-in and check-out inspections
  • Upload and flag photos

What representatives cannot do

  • See billing or subscription details
  • Change property settings or rooms
  • Delete inspections or stays
  • Access reports from other guests
  • Send emails to guests

Add a representative via Settings → Team. They'll receive a welcome email with their login credentials.

FAQ

Does LodgeCheck work without internet?

The app works offline — you can take photos without signal. When connectivity returns, everything syncs automatically.

Can I use LodgeCheck on my phone without downloading anything?

Yes. Open lodgecheck.app in your mobile browser and tap Add to Home Screen. It installs as a PWA and works like a native app.

What happens to my data if I cancel?

Your data remains accessible on the Starter plan. If you close your account entirely, we delete all data within 30 days — after you've had a chance to export.

Can I add more rooms to a property after creating it?

Yes. Go to the property settings and tap Manage rooms to add, rename or reorder rooms at any time.

How do I run an inspection as a cleaner?

Your host adds you as a representative. You'll get a welcome email with login details. Once logged in, you'll see all properties and can start inspections from the Stays tab.

Can guests dispute the report?

The report is a documentation tool, not a legal judgement. Guests can contact the host directly with concerns. The acknowledgement log simply records that they viewed the report.
