By creating a LodgeCheck account you agree to these terms. Please read them before signing up.
1. About LodgeCheck
LodgeCheck ("we", "us", "our") is a software service that enables short-stay property hosts and managers to document property conditions through photo inspections and generate shareable reports. LodgeCheck is operated by an Australian entity. By accessing or using LodgeCheck you agree to be bound by these Terms of Use.
2. Your account
You must provide accurate information when creating your account. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. You must be at least 18 years old to use LodgeCheck.
You must notify us immediately at support@lodgecheck.app if you suspect any unauthorised use of your account.
3. Plans, trials and billing
7-day free trial
New accounts receive a 7-day free trial with full access to all features. No credit card is required to start a trial. After the trial period, your account is automatically downgraded to the Starter plan unless you subscribe.
Paid plans
Paid plans are billed monthly or annually in AUD including GST. Pricing is displayed on the pricing page. By entering your payment details you authorise us to charge the recurring subscription fee.
Cancellation and refunds
You may cancel your subscription at any time through your account settings. You will retain access to your paid plan until the end of the current billing period. We do not offer pro-rata refunds for unused portions of a billing period unless required by Australian consumer law.
Plan changes
You may upgrade or downgrade your plan at any time. Upgrades take effect immediately. Downgrades take effect at the next renewal.
4. Acceptable use
You may use LodgeCheck only for lawful purposes and in accordance with these Terms. You agree not to:
- Upload content that is illegal, defamatory, harassing or fraudulent
- Use LodgeCheck to harass, intimidate or make false claims against guests
- Attempt to access, reverse-engineer or interfere with LodgeCheck's systems
- Scrape, copy or redistribute LodgeCheck's content or technology
- Share your account credentials with unauthorised parties
- Use LodgeCheck in any way that violates applicable Australian law
5. Your content
You retain ownership of all photos and data you upload to LodgeCheck. By uploading content you grant us a non-exclusive licence to store, process and display it for the purpose of providing the service.
You are solely responsible for the accuracy and lawfulness of the content you upload. You must have the right to photograph the property and must not photograph individuals without their consent.
6. Property inspections and reports
LodgeCheck generates inspection records and reports based on data you input. These records are tools to assist with property condition documentation — they are not legal determinations. We do not guarantee that LodgeCheck reports will be accepted by Airbnb, VCAT, NCAT or any other platform, tribunal or court.
You are responsible for using reports responsibly, fairly and within the bounds of your booking platform's terms of service.
7. Service availability
We aim to provide reliable, uninterrupted service. However, we do not guarantee 100% uptime. We will not be liable for any loss caused by service unavailability, provided we take reasonable steps to minimise outages.
We may modify, suspend or discontinue the service at any time by giving reasonable notice. If we discontinue the service, we will provide at least 30 days' notice and allow you to export your data.
8. Limitation of liability
To the maximum extent permitted by Australian law, LodgeCheck is not liable for any indirect, incidental, special or consequential losses arising from your use of the service, including the outcome of any damage claim or legal dispute.
Nothing in these Terms excludes rights you may have under the Australian Consumer Law, including consumer guarantees.
9. Changes to these Terms
We may update these Terms from time to time. We will notify you by email and provide at least 14 days' notice before material changes take effect. Continued use after that date constitutes acceptance.
10. Governing law
These Terms are governed by the laws of Australia. Disputes will be subject to the exclusive jurisdiction of Australian courts.

We collect only what we need and never sell your data. This policy explains what we collect and why.
1. What information we collect
Account information
- Name and email address (required for login and communication)
- Business name, phone, website (optional, for branded reports)
- Password (stored as a one-way hash — never readable)
Property and inspection data
- Property names and addresses
- Guest names, email addresses and booking references
- Inspection photos (stored securely via Cloudinary)
- GPS coordinates attached to photos (latitude/longitude at time of capture)
- Inspection notes and condition ratings
Usage data
- IP address when a guest report link is first opened (logged for acknowledgement records)
- Basic server logs (error tracking, security monitoring)
Payment data
Payment card details are processed by Stripe and never stored on our servers. We receive only a Stripe customer ID and subscription status.
2. How we use your information
- To provide and operate the LodgeCheck service
- To generate property condition reports
- To send transactional emails (account confirmation, password reset, report delivery)
- To process subscription billing via Stripe
- To respond to support requests
- To detect and prevent fraud and abuse
We do not use your data for advertising, sell it to third parties or share it with any party not involved in delivering the service.
3. Guest data
When you send a report link to a guest, we record their name, email address and the time/IP of their first report view. This data is used solely to create the acknowledgement record — it is not used for marketing or shared with third parties. You are responsible for informing guests that their inspection is documented and that they will receive a report.
4. Data storage and security
Your data is stored on servers hosted by Railway (application) and Cloudinary (photos). All data is transmitted over HTTPS. Passwords are hashed using bcrypt. We apply reasonable technical and organisational measures to protect your data.
LodgeCheck operates in Australia. Your data may be processed by our infrastructure providers in the United States (Cloudinary, Railway, Stripe). By using LodgeCheck you consent to this transfer.
5. Data retention
We retain your data for as long as your account is active. If you delete your account, we permanently delete all associated data — including photos on Cloudinary — within 30 days. You can export your data at any time before deletion.
6. Your rights
Under Australian privacy law and the GDPR (if applicable), you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Export your data in a machine-readable format

7. Cookies
LodgeCheck uses a single authentication cookie (lc_token) to keep you logged in. We do not use advertising cookies or third-party tracking. No cookie consent banner is required for a single essential session cookie.
